The Administrative Assistant performs a variety of administrative duties to support the assigned department(s).
Composes, types and transcribes correspondence, forms, reports, presentation materials and other written communications as required.
Receives and screens visitors and telephone calls, and handles general inquiries.
Schedules/coordinates meetings, conferences, special events, appointments and travel arrangements.
Maintains assigned calendar(s).
Establishes and maintains filing systems. Orders and stocks supplies.
Processing on a timely basis travel expense reports, timecards, check requests, requests for invoice payments.
Composing correspondence ensuring 100% accuracy of spelling and syntax.
Managing the mail (incoming, outgoing and email) and time sensitive deadlines by sorting, prioritizing and communication with Leaders.
Keeping an up-to-date computerized address book of contacts that is coordinated with phone, PDA and laptop computer access.
Organizes and monitors calendars using desktop software (schedule appointments, meetings, conference rooms, telephone calls and conferences).
Manages the mail (incoming and outgoing) and time sensitive deadlines by sorting and prioritizing. Maintains filing system, including all correspondence, projects and other departmental logistics.
Composes and types routine correspondences, reports and other documents.
Prepares presentations including PowerPoint slides and packets for distribution in meetings.
Processes expense reports.
Performs other duties as assigned.
High school diploma or equivalent is required,
Post high school education and training is preferred.
Secretarial skills, including proficient use of office equipment is required.
Computer capabilities in word processing, spreadsheets, and presentation software are required.
Excellent attention to detail, communication and grammar skills are required, along with the essential ability to function independently, professionally and efficiently.
