Whole Foods Market Purchasing Assistant in Austin, Texas

Job DescriptionThe Purchasing Assistant is a support role on the Global Purchasing Team. They are A Self-motivated, data driven, innovative thinker, willing to work in an evolving role that will help build a new retail format for Whole Foods Market. The Purchasing Assistant will be responsible for data collection and maintenance, reporting, supplier communications and scheduling. This role will collaborate with Whole Body Leadership, Category Managers, Regional Buyers, Support Team Members and suppliers to help ensure the successful execution of all programs.


The Purchasing Assistant will be responsible for one or more of the following task groups:

Data/Item Management

  • Ensure WFM product data is continuously up to date by processing item/distributor communication on UPC/PLU changes, discontinuation notices, supply shortages, and other item information updates

  • Maintaining items/skus and ensuring they are loaded in the right class/category

  • Collect new item information from the Category Managers and provide complete data submissions to the WFM Data Team, WFM Space Planner, and Regional Distribution Centers

  • Partner with the WFM Data Team to onboard new suppliers and maintain compliance documentation

  • Provide stores with routine product status updates and instructions for managing UPC/PLU changes, long term out of stocks, discontinuations, and new item launches


  • Create routine and ad hoc reports as requested by the Category Managers utilizing data from multiple sources (vendor supplied data, Microstrategy, IRMA, and others)

  • Collaborate & support Category Managers with high level insights and reporting for Category and Brand level Financial reviews. Work with Nielsen, DunnHumby, and Mintel to develop category specific insights to support Category Management

  • Maintain up-to-date reporting libraries that allow access to historical reporting

Supplier Relations

  • Independently schedules supplier meetings including the creation of meeting materials

  • Responsible for meeting deliverables: initial reporting, meeting notes, follow up documents, etc.

  • Process new item samples including unpacking, storage, and disposal


  • Establish and maintain collaborative working relationships with Global and Regional partners

  • Manage updates to the store merchandising map in real time using information provided by the Category Managers. Provide stores with a continuously up-to-date guide on where all products in the store should be merchandised

  • Manage new item launch and reset instruction communication using information provided by the Category Managers and Space Planner. Provide all necessary information to ensure effective sell down of discontinued product and smooth introduction of new products

  • Manage off-shelf merchandising instruction communication including notification of product delivery dates, delivery of endcap planograms, and communication of promotional items and pricing

  • Manage product recall/withdrawal events in the ICIX system

  • Provide first level store query support and escalate as needed

  • Perform other duties as assigned

  • Experience with Microsoft office products; must have advanced proficiency in Excel and have the ability to create and run complex and dynamic reporting

  • Comfort with and ability to learn new reporting and database tools/systems; basic level knowledge of database reporting tools, including MicroStrategy

  • Strong familiarity with procurement and supply chain operations

  • Strong attention to detail, and commitment to consistently meeting timelines

  • Able to think creatively and solve problems

  • Excellent organization and time management skills. Strong project management background

  • Excellent written and verbal communication skills with ability to present ideas, conclusions and recommendations with clarity

  • Must live in or be willing to relocate to Austin, TX
